Position Title: Senior Project Assistant

The International Organization for Migration (IOM) is committed to the principle that humane and orderly migration benefits migrants and society. As the leading international organization for migration, IOM acts with its partners in the international community to: assist in meeting the growing operational challenges of migration management; advance understanding of migration issues; encourage social and economic development through migration, and; uphold the human dignity and well-being of migrants.
In Bulgaria, IOM is focusing on responding to the current migration situation in the country, in support of the Bulgarian Government and in cooperation with all other agencies involved.
Context: Under the direct and overall supervision of the Head of Office (HoO) in Sofia, Bulgaria, the successful candidate will be accountable and responsible for the planning, implementation and reporting of the activities of projects focused on the migration flows management and integration, as well as to facilitate the communication and the networking with the public authorities, NGO’s, migrant’s communities and other relevant stakeholders.
Core Functions/Responsibilities:
- Coordinate and liaise with relevant counterparts, line departments and local authorities for the smooth implementation of IOM Bulgaria integration programmes.
- Maintain regular contact with IOM Missions in the countries of origin and create reports of the cooperation related to project implementation activities.
- Responsible for coordination and implementation of the information campaigns (online and offline) in country of origin for pre-departure orientation of potential labour migrants.
- Coordinates, and organizes the agenda with relevant stakeholders, including speakers, lecturers and considering participants’ needs, and manages the logistics of information and integration events organized by IOM Bulgaria including workshops, meetings, field visits, and others.
- Plan implementation of field activities related to project implementation to ensure that all the allocated resources are used efficiently, and operational issues are timely solved to prevent delays and other challenges.
- Coordinate and liaise with other IOM Missions for implementation of regional project activities.
- Draft activity reports, formal correspondence, background notes, press releases, and other documents related to project activities and ensure dissemination to appropriate stakeholders.
- Undertake site visits to monitor the proper implementation of project activities and to identify needs and provide technical inputs for the development of new project activities and/or complementary components were relevant.
- Maintain, update and compile project documentation, including payment requests and similar routine project documentation of the project and train the designated experts from other IOM Missions on the specific donor requirement reporting procedures.
- Consolidate and analyse data on project implementation and indicators to facilitate the preparation of interim and final donor reports as well as periodic and activity-specific reports, as may be required.
- Ensure proper information exchange and share on all operational aspects of the assigned projects/programmes within the IOM cooperating Missions.
- Liaise with other units within the Mission to ensure open communication and coordination with other relevant programmes
- Participates in trainings, seminars and meetings, and liaises with partner organizations, as required
- Perform such other duties as may be assigned.

Education and Experience
Education
- Bachelor degree in Political or Social Sciences, Humanitarian Affairs, Migration Studies, or related field from an accredited academic institution with at least five years of relevant professional experience, or
- Master’s degree in the above mentioned fields will be an advantage.
Experience
- Professional experience in project assistance and implementation of projects on international level.
- Experience to drafting project documentations and reports.
- Experience with issues of migration, immigration, border management and counter trafficking.
- Good knowledge on national legislation
- Work experience in IOM, UN agency or non-governmental organization, or international organization is required.
- Extensive experience in liaison and cooperation with governmental authorities and UN partners.
- Good level of computer literacy.
- Previous work with migration issues and the ability to create and make presentations.
- Experience in program development, project monitoring and evaluation is required.
- Excellent reporting and writing skills
- Strong understanding of the UN and IOM Rules Regulations and practices are advantageous.
Languages
Fluency in English and Bulgarian is required.
Other
Appointment will be subject to certification that the candidate is medically fit for appointment. Subject to certain exemptions, vaccination against COVID-19 will in principle be required for individuals hired on or after 15 November 2021. This will be verified as part of the medical clearance process.
